Job Description


  1. This position is first of all a minister of God to the people. Their passion for God, prayer life and conduct must be exemplary before those whom they serve
  2. This person should seek to implement the mission and vision of The Fellowship at Bend (TFAB), which is to make disciples that glorify God, edify the body, and testify of Him
  3. This person is responsible to the Lead & Executive Pastors
  4. This person has agreed to and signed (along with spouse) the Servant Leader Agreement
  5. This person is expected to be at all gatherings, including Christmas Eve and/or Day & Easter
  6. This person is expected to take part in a Community Group

Objective: Do all you can to love TFAB by managing the day-to-day administrative & operational needs of the church

DESCRIPTION OF DUTIES:

OFFICE ADMINISTRATION:

  • Help oversee the Creative/Communications admin
  • Answer phone calls and greet visitors
  • Check and reply to voicemail (or send to Loren [Pastoral] or Ben [Practical])
  • Respond to e-mails, social media messages/posts
  • Keep an up-to-date schedule of all meetings including: counseling, job interviews, volunteer meetings, and post to public calendar
  • Take notes at all meetings, publish minutes, and assist in putting plans into action
  • Print any needed documents, lists, or labels, as requested
  • Produce notebooks, packets, and signage
  • Create or proof new flyers and office documents
  • Update all documents, position papers i.e. check for versioning, last used, scrub for legacy logos/names etc., as needed
  • Train office volunteers, and maintain a monthly rotation for assisting with office tasks, i.e. announcement slides, uploading sermon audio, phones, schedules, e-mail, etc.
  • Receive and direct requests for new volunteers for all ministries at TFAB
  • Assist in managing servant schedules weekly through Planning Center Online, email and phone
    Ministries include: Children’s Ministry, Worship, Sound, Security, Team Connect, Coffee, Office Volunteers, etc.
  • Assist in maintaining a clean kitchen area\
  • Maintain an orderly work space
  • Perform weekly/monthly inventory and shop for all beverage/office supplies (water, coffee, cream, milk, paper products, and office hospitality supplies)

MEDIA & CONTENT:

  • Website content management including maintenance of teachings, photos, and church information, primarily utilizing Word Press

EVENT COORDINATION:

  • Assist in the coordination of food for events as necessary (retreats, meetings, & events)
  • Coordinate with staff to arrange travel logistics for retreats, conferences, or other events as necessary

SUNDAY MORNING GATHERINGS:

  • Arrive at least 60 minutes before Sunday Gatherings
  • Assist with Info Table and provide direction to Lobby Volunteers as needed
  • Help fill volunteer holes as necessary (Door keeping, Hall Monitor, Children’s Ministry, Lyrics, etc.)

SHARED RESPONSIBILITIES:

  • Turn on office lights, printers, coffee machine, lobby music, and double check thermostat
  • Retrieve necessary supplies for the week
  • Help assist in additional organization of storage areas
  • Take notes at all necessary meetings (staff meeting, ministry meetings, etc.)
  • Be willing to assist and courier for the team

EXECUTIVE ASSISTANT:

  • Serve as a helpful and caring assistant to interface with the congregation and lead pastor on Sunday mornings and throughout the week, assisting in setting up and managing meetings for upcoming week
  • Enhance lead pastor’s effectiveness by providing information management and representing the pastor to others
  • Conserve lead pastor’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communication
  • Maintain lead pastor’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel, and entering into lead pastors calendar upon request
  • Maintain high level of confidence in order to protect church and members by keeping information in complete confidentiality
  • Prepare reports and weekly briefings by collecting and analyzing information
  • Contribute to leadership team effort by accomplishing related results as needed
  • Assist with light bookkeeping duties

TIME OFF:

  • Time-off dates must be approved Executive Pastor
  • This person is required to work on Sundays as part of their regular weekly schedule and will have 4 personal Sundays off per year

HOURS: (This is an hourly position ranging between 25-30 hours/week)

  • MONDAY: 8:30 AM – 1:30 PM
  • TUESDAY: 8:30 AM – 1:30 PM
  • WEDNESDAY: 8:30 AM – 1:30 PM
  • THURSDAY: 8:30 AM – 1:30 PM
  • FRIDAY: Off
  • SATURDAY: Off
  • SUNDAY: 8 AM– 1 PM

COMPENSATION:

Pay to range based upon experience and skill level
